Most of us are too busy worrying about what we are writing to think much about how we write. But in business communication, having command of a clear and legible is essential to get your point across.
With companies today is moving at the speed of broadband, everyone expects better results in record time. Every day we dealing with hundreds of business communications in the form of e-mails, letters, phone calls, conversations and meetings, before we tackle the "to do list".
It is not surprising that many companies often read posts if they were written between floors in an elevator, coming across as sloppy and careless. This article describes the five most common errors in business writing, with advice on how to avoid them.
1. Burying the point. Time is short to get the meat of the message as soon as possible. Think like a journalist: put critical information at the top, where people are safe to read. If you leave the nugget of gold for the last sentence, your reader may not never get there. Make sure your message is clearly marked in the title or subject line, so that your reader can quickly decide how to organize it.
2. Invite a yawn. Advertising expert Hal Stebbins notes: "If you're bored with what you write, do not blame the player for yawning." The best way to generate interest in your writing is to be interested yourself in your subject, your readers, your company and communication. Find and focus on the most important reasons to cause the reader to act or react as you wish. In case of doubt about what must be stressed, remember that the person you are writing is still a human being, someone who is subject to the same things that motivate all people. If you do not want to read it, chances are, neither will your reader.
3. To say in twenty words what you could say in five years. Charles Dickens has been a great novelist, but he was paid by the word. In business writing, over the sentence, the better your chances of losing the reader through to halfway. Be brief and simple, and you keep the attention of your reader. A quick way to determine where your writing needs editing is to ask: "Would I say this the same way if I was talking with this person face to face? "Why business people write" We will establish the facts and advice accordingly "when in conversation, they would say:" We will find out and let you know "is a mystery. If you would not know, do not write it.
4. Using unfamiliar words. Your goal in writing should not be to impress the reader writing ability, but to express ideas so the reader can understand. Some authors of business thrive on the use of long words and unusual technical, commercial or legal terms. These exhibitionists vocabulary of difficult words to give their writing an air of authority, but they end by sending the reader to the dictionary more often. Write to express, not impress, and you'll save yourself and your reader a lot of trouble.
5. Building on language obsolete. Use phrases and outdated stereotypes is the lazy way to write. Like anything else that comes too easily, result is nothing to brag about. Fill your writing with phrases that belong to legal documents of your grandfather did not alienate your reader and using phrases will keep your readers snoring. It's much better to keep your writing fresh and updated.
Hasty writing business is a one way ticket to the "Delete". It does not take long to put a little care in your writing-a minute to check the spelling and another to check the most common errors like those described – but the result will be a message that lasts much longer in the mind of your reader and is more efficient to get the results you want.
